A Thanksgiving potluck sign-up sheet helps a group see who is bringing each dish before the table fills with the same item. Keep one shared copy in a visible place and ask each person to write a specific contribution. “Roasted carrots, serves eight” gives the host more useful information than “side dish.”
Decide what the meal needs
Before sharing the sheet, make a rough list of categories: main dishes, vegetable sides, other sides, desserts, drinks, and serving supplies. Decide which items the host will provide. This avoids asking guests to fill a gap that has already been covered.
- Write the event date, location, and arrival time at the top or on an attached note.
- Enter the host’s contributions first.
- Ask guests to add their name, dish, estimated servings, and relevant notes.
- Review the list before the event and contact people about remaining gaps.
- Keep a final copy available when dishes arrive.
Use the notes column well
Useful notes include “bringing serving spoon,” “needs an outlet,” or “individual portions.” Ask contributors to provide ingredient information for their own dishes when guests need it. A handwritten note is a conversation starter; it should not replace checking ingredients or discussing individual dietary needs with the person who prepared the food.
For a classroom or office event, assign one coordinator to update the sheet so several versions do not compete. For a smaller family meal, clip the sheet to the refrigerator and photograph the completed version for your own reference. On the day, check off arrivals and label serving dishes with the contributor’s name so containers return to the right person.
Frequently asked questions
How many servings should each person bring?
Choose an approximate target based on the guest count and number of dishes. Write that target in the event note, then confirm unusually large or small contributions directly.
Can this sheet be used for supplies?
Yes. Add entries such as napkins, cups, ice, or serving utensils in the dish-or-item column. Name the quantity needed when possible.
